Overview
Many new clients require their existing portfolios to be added to ScanX for ongoing monitoring. The purpose of this document is to provide a step-by-step guide for creating MonitorX in bulk using the bulk send function.
Prerequisites
List of all merchants
Ensure you have a complete list of all merchants that need to be added for ongoing monitoring.
If there are multiple types of MonitorX, separate lists will be required for each type.
- Business DBA
- Business Legal Name
- Business Address (Street, City, State, Zip, Country)
- Business Website (if applicable)
- For all Owners
- First- and Last Name
- Address (Street, City, State, Zip, Country)
- For all Control Person (if applicable and different)
- First- and Last Name
- Address (Street, City, State, Zip, Country)
You may also include any additional information you wish to be displayed in MonitorX, such as the MID.
Build the CSV
When the merchant list(s) is ready, it must be reviewed and properly formatted for bulk upload. The upload file must be in CSV format and adhere to the following requirements. Meeting these requirements will ensure not only a successful upload to the system but also that all integrations function as expected.
Required Column Headers & Value
There are two column headers required to successfully upload the CSV:
- [Transaction Name]: [Transaction Reference ID]
- Replace the header of the first column with the Transaction Name and Transaction Reference ID. These can be found under Transactions in the Administrator console.
- For example, the first column header should be: OFAC Monitoring: OFACMonitorXScorecard
- The value in this column should always be “1”. Do not add sequential numbers to this column.

- Enter the system signer email in this column. The system signer email can be found on the Company Settings page.
- Please note that no email will be sent.
Data Column Headers & Value
The remaining columns containing merchant information should also follow the required header naming conventions. The column headers correspond to the field names on the scorecard, such as Business_LegalName.
Ensure that all required data is available and formatted correctly (e.g., country/state names, date formats, etc.) to run integrations successfully.
It is crucial to review and confirm the data in the CSV file to avoid errors during integrations. If an integration fails due to missing or incorrectly formatted data, it will require manual updates to multiple scorecards.
Additionally, ensure there are no empty rows in the CSV file, as each empty row will result in a failure.
Upload the CSV
It is recommended to start with a small batch of two to three merchants to ensure the bulk upload process is working as expected before uploading the entire batch. Follow the steps below to upload the CSV:
Step 1: Go to “Administration” and scroll to “Tools” and click on “Bulk Send”
Step 2: Click on “Uploads” on the left panel. Then Click the Pink (+) icon in the bottom right corner
Step 3: Enter a Name and add Tags for the upload
- It is recommended to include the date as part of the naming convention for easier reference.
- Additionally, add tags to the batch upload so that the bulk scorecards can be easily identified and prioritized for the underwriter’s action in the Workspace view.
Step 4: Click the Browse button > Select the .CSV file > Click on the Upload button
Create Cases
Once the file is uploaded to the system, an additional step is required before the MonitorX are created. MonitorX can either be created as Draft Scorecards—allowing for review prior to running integrations—or Launched Directly.
It is recommended to create the MonitorX in draft mode for the initial small batch to confirm that all data from the CSV file is populated correctly. If any data is missing or incorrectly formatted, it can be easily updated within this small batch of only two or three Scorecards.
Create MonitorX as Draft
This process is only recommended for the small test batch:
- From the Upload view within the Bulk Send, click on the Uploads blade to open the upload details.
- Uncheck Skip Landing Pages; the Send Configuration will default to Draft.
- During the upload process, a spinning icon will indicate that the upload is in progress. Scorecards are created almost immediately, so it is recommended to return to the Workspace and refresh the page.
- In the Workspace, you will see the newly created scorecards in Draft status.
- While the scorecard is in draft status, you can amend the data if needed. If you are satisfied with the data, select Publish to change the scorecard status to Active and initiate the integrations.
Launch MonitorX Directly
Once you have confirmed that the small batch was successfully processed and there are no integration errors, you can proceed to upload the full batch of merchants:
- Uncheck Skip Landing Pages, then check Send Direct to generate Active Scorecards and initiate the integrations.
- In the Workspace, you will see the newly created scorecards in Active status.
- Later, revisit the Workspace to confirm that the integrations have been completed for all scorecards.
